We are planning a wedding in the Florida Keys (with a champagne and cake reception) and a celebration/reception that summer at home. The wedding is to be in 2009, however, friends and family members have asked to be given ample notice to be able save and attend. We have decided to give our full guest list (about 200-250 people) the option to attend the wedding (so there are no hurt feelings). We have a date range that we want our wedding to in, but will set the specific date based on the availability of accommodations for those who want to attend. My mother and I want to get a head count and go to a travel agent to set everything up (we feel it's the least we can do) and have the travel agent send all interested parties an itinerary, payment schedule, information packet etc.
I need to have all the information collected to give those who want to attend at least a year to save for the trip.
Can I send the whole guest list an invitation/letter of explanation of these circumstances with a post card (pre-stamped) to send back if interested with contact information, or should this be done differently?

Dear Egnorw,
This is much too early for invitations or even save the dates. Too much can change by your wedding date. You could simply tell everyone what you are doing. But, no one knows what will be going on in their lives by the time you marry. So, trying to invite or get a head count now, really isn't going to be possible.
