     How to calculate the number to guarantee for the reception  

Assuming that 250 RSVP that they will attend the reception, what number should we use for the guarantee. The location indicated that they would plan for 10% more than our guarantee and we have been told that we should guarantee 80% of the RSVP number, meaning we would guarantee 200, with the location preparing food for 220. Is this correct? We do not want to run out of food or overpay for those who do not attend. We are having a buffet type reception. Thanks for your help.

When you receive a response from a guest, you should count that person in your head count to the caterer. In my experience, the no shows would be less than 2%.
