Place Cards for a limited number of people at a Cocktail Reception
Hello Experts:
Thanks so much for being available to answer questions. This is a great site and your time is very much appreciated.
I'm helping plan a wedding and the Bride has purchased place cards with cute holders for only a limited number of people at a cocktail reception. The Bride estimates 100 guests.
There are six tables with a total of 48 chairs. The tables with chairs are to be reserved for the family and older people, as well as the officient and ceremony musicians who offered their services gratis. Tall cocktail tables are scattered around the room for the other guests.
The floor plan seems to work well, however my concern is for the guests without a place card and saving them embarrassment from searching for a place card when there is not one for that person. I had hoped to pre-set the tables with the place cards and table numbers, then to utilize a nice table top easel with a large framed list of the six tables with guest names listed under each table number. Perhaps the heading on this display could be an easy identifier that family and wedding attendants and musicians are the ones with seats. Any suggestions on a title or a different way to handle this.

Having a list available of the reserved tables and the assigned guests is a good idea. I would honestly just stick to the title "bridal party" or "Bridal Party and Immediate Family" - and let the musicians and family members know in advance that they are included and should look for their names. Few people are offended when reserved seats are kept for the bridal party. But, if you break the musicians out in the header or title, you're going to raise eyebrows.
Also, stationing an attendant during the seating period, near the easel and/or entrace to reception facility would be helpful. Shayna Walker, Williamsburg Wedding Design http://www.williamsburgweddingdesign.com

I agree. It would be unfortunate if guests felt as if they weren't 'good enough' for a special seat. Rebecca Black, Etiquette Now
